ALL YOU NEED TO KNOW ABOUT THE NF525 STANDARD FOR CASH REGISTER SOFTWARE

The NF525 standard, in force since the application of Article 88 of the 2015 Finance Act, provides a framework for cash management software. It concerns VAT-registered professionals, such as shopkeepers, hairdressers and beauticians, who carry out transactions with non-taxable customers. Here’s what you need to know about this standard, its requirements and the penalties for non-compliance.

Objectives and scope of the standard

The NF525 standard is designed to combat VAT fraud. Certified software must guarantee inalterability, security, conservation and archiving of collection data. This prevents the concealment of transactions and ensures reliable tracking of cash receipts. However, some companies are not affected by this obligation, such as those invoicing between professionals, or those benefiting from basic VAT exemption. This exemption applies to companies whose sales do not exceed certain thresholds, set at 82,800 euros for retailers and 33,200 euros for service providers.

Features of compliant software

NF525-compliant software must : – Prevent cash register receipts from being modified,

– Provide a receipt link certificate to detect any deletion.

– Keep transaction data for at least six months,

– Systematically archive daily, monthly and annual cash closures.

How do you prove compliance?

To prove software compliance, a merchant must obtain a certificate from an accredited certification body. They can also present a certificate issued by an IT integrator or, in some cases, self-certify if their company develops its own cash register software.

Penalties for non-compliance

Failure to comply with the standard will result in a fine of 7,500 euros per non-certified software product. After an initial sanction, professionals have 60 days to comply, or face a further fine. Submitting a false certificate also exposes the person responsible to three years’ imprisonment and a fine of 45,000 euros.

Control procedures

Inspections are carried out by administrative staff during working hours. During an inspection, the officer issues a notice of intervention, and then draws up an official report with conclusions and any irregularities found. Companies have 30 days in which to submit observations or a certificate of compliance, thereby avoiding a fine.
